Operations Administrative Assistant

Provide high-level confidential administrative support to management across a variety of activities.

This job is on-site 4 days per week in Fulton, Maryland. 

About the Job: As Enveil continues to grow, we need an experienced Operations Administrative Assistant to support the CEO and Executive Leadership Team (LT) on a daily basis. The Leadership Team (LT) includes the Chiefs, VP of Sales; plus the Director PeopleOps. This position is an exciting opportunity to join a high-growth, fast-paced, start-up tech company with an amazing culture and people-focused values. The Operations Administrative Assistant is distinguished by its responsibility for providing high-level confidential administrative support to management across a variety of activities. You have good judgment and value discretion; you know you are a direct reflection of the culture of the company.

What You Will Get to Do: On a typical day, you will be supporting a range of activities that have a direct impact on our company. You will provide a broad range of operations administrative support functions, including:

  • Manage the calendars of the CEO, the Chiefs and VP Sales; maintain the corporate and conference room calendars. Resolve calendar conflicts and manage other operational requests
  • Manage the workflow and scheduling of job interviews in support of the Director, PeopleOps
  • Coordinate, maintain and create various events for the company, including weekly office-wide lunches, and Quarterly Business Reviews (QBRs) 
  • When needed, format proposal documents using consistent templates
  • Increase engagement and employee morale. Build strong internal and external relationships.
  • Maintain and continually develop a solid understanding of organizational operations, policies, and procedures to better anticipate upcoming needs and requests
  • Purchase and initiate payments for office supplies, equipment, and maintain inventory
  • Make travel arrangements for the CEO and LT as needed
  • Maintain a variety of files and records, including confidential and time sensitive materials. 
  • Gather, enter, obtain signatures, update data to maintain departmental records and databases, as appropriate.
  • Respond to routine external correspondence and telephone inquiries using good customer service behaviors.
  • Ensure that the office has a welcoming, neat and tidy appearance, including the kitchen, main areas, conference rooms, etc.
  • Negotiate corporate rates for hotels, and other corporate expenses as needed.
  • Coordinate the repair and service of office equipment as needed.

What you'll need to succeed:

  • US Citizenship is required for this role. 
  • HS Diploma and a valid driver’s license
  • Working knowledge of Mac OS, Google and Slack.
  • Significant experience (8-10+ years) supporting Operations
  • Impeccable organizational skills.
  • Excellent time management skills with the ability to prioritize work.
  • Excellent attention to detail.
  • Strong communication skills, both verbal and written.
  • A professional, welcoming and warm demeanor that is reflective of the Company’s culture and values.
  • A service-oriented mindset.
  • The drive and flexibility needed to be successful in a startup environment.

Salary - $65,000 - $80,000 depending on experience and qualifications
